Position: Full-Time, On-Site Jr / Executive Assistant
Location: Midtown Manhattan, NY
Schedule: Monday–Friday, Full-Time (standard business hours with flexibility as needed)
Salary: $90,000-$120,000-Competitive salary and benefits, commensurate with experience
Start Date: ASAP / Flexible for the right candidate
Relocation: No – local candidates preferred
About the Firm
A boutique investment firm based in Midtown Manhattan is seeking a highly organized, detail-oriented Jr / Executive Assistant to support multiple executives across varying departments. This is a full-time, on-site role supporting a dynamic leadership team in a fast-paced investment environment. The firm values discretion, professionalism, sound judgment, and strong interpersonal skills. This position offers significant exposure to senior leadership and high-level business operations.
Responsibilities
- Provide high-level administrative support to multiple executives across departments
- Manage complex and ever-changing calendars with strategic prioritization across time zones
- Schedule and coordinate internal and external meetings, including board-level and investor engagements
- Support timely management of deal-related matters and sensitive priorities
- Handle confidential and proprietary information with discretion and professionalism
- Prepare briefing materials, agendas, memos, and post-meeting follow-ups
- Act as a gatekeeper for executive access and facilitate seamless internal and external communication
- Coordinate detailed domestic and international travel itineraries, including flights, accommodations, and logistics
- Track, reconcile, and manage expenses and corporate credit card transactions
- Liaise with legal, finance, and operations teams on behalf of executives, including vendor and contract coordination
- Organize team-building events, executive offsites, and firm gatherings with a high-touch hospitality mindset

Requirements
- 3–5 years of experience supporting C-suite or senior executives, preferably in finance, investment, or similarly fast-paced industries
- Demonstrated ability to manage multiple priorities with accuracy and composure
- High EQ, integrity, and exceptional written and verbal communication skills
- Strong proficiency in Microsoft Office Suite, Zoom, Canva, Adobe; comfort learning new systems as needed
- Bachelor’s degree preferred
- Legal authorization to work in the United States
