Job Overview: As a Bookkeeper/Organzier, you will play a crucial role in ensuring the smooth and efficient operation of our museum. You will be responsible for managing financial records, tracking insurance, maintaining key control, organizing paperwork, and managing filing systems. This role requires a high level of attention to detail and excellent organizational skills.
- Maintain accurate financial records and ledgers.
- Prepare and process invoices, payments, and purchase orders.
- Monitor and track insurance policies related to the museum's assets, including automobiles.
- Ensure insurance coverage is up to date and adequate for museum needs.
- Handle insurance claims when necessary.
- Maintain a secure system for managing keys to the museum's vehicles and facilities.
- Coordinate key access for authorized personnel.
- Monitor and track key usage and returns.
- Organize and maintain all administrative paperwork, including contracts, agreements, and vendor invoices.
- Manage filing systems to ensure documents are easily accessible.
- Assist with correspondence and communication as needed.
- Keep meticulous records of museum-related expenses, receipts, and financial transactions.
- Prepare regular financial reports for museum management.
- Proven experience as a bookkeeper or in a similar financial role.
