Leading global marketing communications agency based in Rockville, Maryland specializing in content creation, experiential design, production, events, digital development, and marketing and communications is in search of a Full Time Executive Assistant. Position Summary: Seeking a highly organized, detail-oriented, and proactive Executive to support the CEO. This role will be responsible for managing administrative tasks, coordinating schedules, organizing travel arrangements, and providing personalized support to ensure the CEO's day-to-day operations run smoothly. The ideal candidate will possess exceptional communication skills, demonstrate a high level of professionalism, and have the ability to maintain confidentiality and discretion.

Responsibilities:

  • Act as a point of contact between the CEO and internal/external stakeholders, maintaining a professional and approachable demeanor.
  • Manage the CEO's calendar, schedule meetings, appointments, and conference calls, and coordinate all logistical aspects.
  • Prepare and organize materials for meetings, presentations, and events, ensuring all necessary documentation and information are readily available.
  • Conduct research and compile reports, providing timely and accurate information to assist the CEO in decision-making processes.
  • Coordinate domestic and international travel arrangements, including flights, accommodations, and ground transportation, while ensuring travel itineraries are efficiently organized.
  • Draft and edit correspondence, emails, and other written materials on behalf of the CEO, maintaining a high standard of professionalism and accuracy.
  • Manage confidential and sensitive information with the utmost discretion and confidentiality.
  • Liaise with internal departments and external partners, fostering positive working relationships and facilitating effective communication.
  • Perform general administrative tasks, such as screening phone calls, managing emails, filing documents, and maintaining office supplies.

Requirements:

  • Proven experience as an Executive Assistant, preferably supporting C-level executives.
  • Exceptional organizational and time management skills, with the ability to prioritize tasks effectively and meet deadlines.
  • Strong attention to detail and the ability to maintain accuracy in a fast-paced environment.
  • Excellent written and verbal communication skills, with the ability to communicate professionally and confidently with individuals at all levels.
  • Proficient in using productivity tools such as Microsoft Office (Word, Excel, PowerPoint) and calendar management systems.
  • Demonstrated ability to handle confidential information with discretion and maintain a high level of professionalism and integrity.
  • Flexibility to adapt to changing priorities and work independently with minimal supervision.
  • Strong problem-solving skills and the ability to anticipate needs and provide proactive support.
  • A professional and positive attitude, with the ability to maintain composure under pressure.
  • Bachelor's degree in business administration, communications, or a related field is preferred, but not required
